www.aipm.com.au Project Manager 41 TOOLS OF THE TRADE Software PM Box PM Box differs from other project management programs in that it monitors every action undertaken in a project to ensure it complies with PMBOK principles. e software combines the PMBOK Guide and Microsoft's collaboration platform SharePoint to deliver an intuitive tool for managing project processes. Microsoft SharePoint offers users a secure place to store, organise and share information that can be accessed from any location and device. e key feature of the PM Box Software Suite is the PM Workbench. For each action implemented on a project, the workbench will suggest subsequent actions and add them to a To Do List. ese suggestions act as friendly reminders that help guard against errors and prevent processes from being overlooked. Suggestions can be tailored to the specifics of your project and the workbench can be used to manage multiple projects at one time. e way SharePoint integrates with PM Box brings the project team and all relevant documentation together. Each team member has a personal dashboard that displays their assigned tasks and any documents relevant to their role. SharePoint provides str ucture to the Project Documentation Library, minimising confusion with consistent file names and versioning. SharePoint not only indicates to the team where files are located but also gives access to a central project calendar and discussion board. Notifications can be set up to alert team members of new communications. All documents are built using the familiar structures of Microsoft Office products such as Word, Excel and Power Point. PM Box assists businesses to achieve their project objectives consistently and efficiently. Team leaders can invite as many or as little interested parties to view project data and control who sees a particular project. Project managers can also temporarily include outside parties in project discussions, which means they can contribute to the discussion via email but can't see anything else in the project. Basecamp gives you the ability to share a file with your team by dragging from your desktop into the browser. Once files are uploaded, multiple team members can edit the file in real time. Basecamp also offers a shared calendar that lists multiple team member schedules and has the ability to automatically update and notify the team via email of changes. Notifications can also be set up to alert project managers when a task they assigned to a team member is complete. Each task that an individual has been assigned to or has completed is listed on their personal page, clearly visible to themselves and others.
